Terms & Conditions

For this document, Kids Adventure Days shall hereinafter be referred to as “the Club”, and any parent, guardian, or individual making a booking or using the services of Kids Adventure Days shall hereinafter be referred to as “the Client.”

The Club will only undertake business in accordance with these Terms and Conditions, which shall be incorporated or implied in any agreements between the Club and the Client. The Client agrees to be bound by these Terms and Conditions upon registering with or booking any services from the Club.

The Club reserves the right to update or revise these Terms and Conditions at any time. The most recent version will always be displayed on the Club’s official website, and Clients will be notified of any significant changes via their registered email address. Continued use of the Club’s services following any updates shall constitute acceptance of the revised Terms and Conditions.

SECTION 1: OPERATING HOURS, STAFFING AND SUPPORT

The After School Club operates as a registered childcare facility for children Monday to Friday, from 15:30 to 17:30, during the Club’s published term dates (available on our official website).

The Club maintains appropriate staffing ratios to ensure each child receives quality care and attention within a safe, engaging, and well-supervised environment.
Our standard staffing ratios are:

  • 1:10 for younger children, and

  • 2:15 for larger mixed-age groups.

This structure allows the Club to provide both focused support and effective supervision throughout all activities.

SECTION 2: REGISTRATION

A registration form must be completed by the child’s legal parent or guardian before attending the Club.

It is the Client’s responsibility to ensure that all required information is completed accurately and remains up to date at all times. This information enables the Club to provide appropriate care and includes:

  • At least one legal parent/carer contact,

  • A separate emergency contact,

  • The child’s school details,

  • Any medical, physical, behavioural, dietary, or special educational needs.

The Club reserves the right to withhold childcare services until all required registration details have been fully completed and verified.

SECTION 3: BOOKINGS

All bookings and payments must be made via the Kids Adventure Days website at www.kidsadventuredays.com.

A booking will be deemed confirmed once the Client has received an email confirmation including the agreed start date, location, and booked days.

By confirming a booking (whether permanent or ad-hoc), the Client authorises the Club to collect their child from the registered school on the specified days.

The child must be aware that they will be attending an after-school club, and meet the operator in the School playground (All Souls C of E).

Children may only attend the Club on the days that have been booked and confirmed. Without a valid booking, the Club cannot accept a child into its care.

SECTION 4: WAITING LIST

If a place is not available, you will have the option to be added to a waiting list. 

 

SECTION 5: FEES

Clubs are £6 each hour session, on a pay-as-you-go service.  

Bookings and payments must be made through the Kids Adventure Days website.

We will not accept any child without a booking; it is against the law and will put us at risk of not meeting the required staff-to-child ratios, as well as having the relevant child details.

SECTION 6: CANCELLATIONS, CHANGES & REFUNDS
Clients may cancel or amend a booking up to 24 hours before the session start time to receive a credit to their account to use for future bookings.
Cancellations made within 24 hours of the session start time are non-refundable.

A child who is ill on the day of the club will not receive a refund or a credit for another session.

A parent/carer who books after-school club services and then does not attend will not receive a credit or a refund.

If the Club must cancel a session due to staffing issues, school closure, or operational reasons, the Client will receive either:
• A replacement session, or
• A full credit to their account.

SECTION 7: LATE COLLECTION
The Club operates strictly until 17:30.
If a child is collected late, the following charges apply:
• £3 for every 10 minutes past 17:30.

Consistent late collection may result in the withdrawal of the child’s place at the Club.

SECTION 8: ABSENCE
If a child is absent due to illness or any other reason, the Client must inform the Club as soon as possible.
Absences are non-refundable and cannot be transferred unless the 24-hour cancellation policy is followed.

SECTION 9: BEHAVIOUR & CONDUCT
The Club is committed to maintaining a safe, positive environment. Children are expected to follow behaviour expectations that promote respect, safety, and kindness.

If a child’s behaviour places themselves or others at risk, or repeatedly disrupts the Club, the following steps may be taken:

  1. Verbal warning and discussion with the child.

  2. Communication with the parent/guardian.

  3. Temporary or permanent removal from the Club.

Bullying, physical aggression, or unsafe behaviour will not be tolerated.

SECTION 10: SAFEGUARDING & CHILD PROTECTION
The Club follows strict safeguarding procedures in line with statutory guidance.
Suppose a member of staff has a concern regarding a child’s welfare. In that case, they are legally obligated to follow the safeguarding policy, which may include informing the school’s Designated Safeguarding Lead (DSL) or consulting relevant authorities.

Parents will be informed where appropriate, unless doing so may put the child at greater risk.

SECTION 11: ILLNESS, MEDICATION & INJURIES
The Club cannot accept children who are unwell or show symptoms of contagious illness. If a child becomes unwell while attending, a parent/guardian must collect them immediately.

Medication can only be administered if:
• It has been prescribed by a healthcare professional,
• A written permission form has been completed,
• The medication is clearly labelled with the child’s details.

Minor injuries will be treated by trained staff and recorded in the Incident Log. Parents will be informed upon collection

SECTION 12: PERSONAL BELONGINGS
Children should not bring valuable or fragile items to the Club.
The Club is not responsible for lost, damaged, or stolen belongings.

SECTION 13: PHOTOGRAPHY & MEDIA
The Club may take photos or videos of activities for newsletters, displays, social media and marketing only with the Client’s consent, provided during registration online

Consent can be withdrawn at any time.

SECTION 14: LIABILITY
While all reasonable steps are taken to ensure the safety and well-being of every child, the Club cannot accept responsibility for:
• Accidents that occur due to inappropriate behaviour,
• Loss or damage to personal items,
• Circumstances beyond the Club’s control (e.g., school closures, emergencies).

The Club holds appropriate Public Liability and Employer’s Liability Insurance.

SECTION 16: POLICIES
All policies, including Safeguarding, Behaviour, Health & Safety, and Data Protection, are available upon request.
The Client agrees to follow and support these policies.

SECTION 17: TERMINATION OF PLACE
The Club reserves the right to terminate or suspend a child’s place if:
• Fees are repeatedly unpaid,
• Behaviour concerns persist,
• A parent breaches these Terms & Conditions,
• The Club determines that it cannot meet the child’s needs safely.

Written notice will be provided where appropriate.

SECTION 18: COMPLAINTS
We aim to resolve concerns quickly and professionally.
Complaints should be raised by emailing the Club directly.
If unresolved, further steps will follow our Complaints Policy.

By booking any session, the Client agrees to these Terms and Conditions.
